Job Summary:-

The Administrative Services Coordinator is responsible for scheduling, communication, record keeping, and facilitating communication between departments and external participants to ensure smooth daily operations.

Details of duties and responsibilities:-

  • Maintaining and updating office records and databases, ensuring accuracy.
  • Organize and maintain digital and physical filing systems.
  • Serve as the first point of contact for visitors, calls, and emails.
  • Handling incoming and outgoing communications, including phone calls, emails, and serving as a point of contact for employees and clients.
  • Ordering office supplies, managing inventory, and maintaining a clean and organized workspace.
  • Prepare and edit documents
  • Providing general administrative support to departments and teams, assisting with tasks like data entry, and document preparation (Writing letters in English & Amharic).
  • Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
  • Process payments, invoices, and expense reports and managing office budgets.
  • Reconcile petty cash and prepare daily deposit reports.
  • Collaborate with the Finance Department and submit monthly VAT declarations in person and on time.

Qualification/ Requirements

  • Bachelor’s degree in accounting.
  • 3+ years of experience in the administrative support field.
  • Basic accounting skills
  • Hands-on experience with MS Office Suite (especially MS Word and Excel), Peachtree, and Amharic typing/writing.
  • Excellent verbal and written communication skills
  • Organized and detail-oriented
  • Adaptability and accountability
  • Languages spoken: Amharic, English, and preferably Oromiffa
