Purpose of the Job:
The Assistant Foreign Procurement Officer at Sino Africa plc supports the Senior Procurement Officer in managing international procurement of Construction Materials,EVs, e-bikes, and smartphones. This role involves handling supplier relationships, ensuring efficient and cost-effective procurement, and ensuring timely delivery while maintaining quality standards.
Main Duties and Responsibilities:
Procurement Process Assistance
- Support the Senior Procurement Officer in sourcing and evaluating suppliers to ensure they meet Sino Africa plc s quality and delivery standards.
- Prepare and process purchase orders in compliance with company policies, tracking shipments to ensure timely delivery.
- Provide regular updates on order and delivery status to the procurement and operations teams.
Supplier Management
- Maintain strong relationships with suppliers, assisting in communication and ensuring clarity.
- Support negotiations on pricing, payment terms, and delivery schedules to secure favorable agreements.
- Monitor supplier performance regarding delivery times and quality, escalating issues to the Senior Procurement Officer as necessary.
Shipping and Logistics Coordination
- Track shipments from international suppliers, coordinating with logistics providers for timely delivery.
- Prepare shipping documentation and ensure compliance with customs clearance requirements.
- Collaborate with Operations and Technical teams to ensure accurate delivery locations and quantities, addressing any shipping delays or issues.
Compliance and Documentation
- Maintain accurate records of procurement transactions, ensuring all documentation is complete and compliant with policies.
- Ensure compliance with local and international import/export regulations, including customs duties and shipping regulations.
- Assist in preparing reports on procurement activities, costs, and supplier performance in collaboration with the finance team.
Cost Management and Budgeting
- Assist in negotiating pricing with suppliers to achieve the best possible costs without compromising quality.
- Monitor procurement expenses to ensure adherence to the allocated budget and provide updates on cost savings.
- Identify opportunities for cost reductions in the procurement process, including bulk purchasing and alternative suppliers
Qualification and Experience:
Education:
- Bachelor's degree in Business Administration, Supply Chain Management, International Business, or a related field.

Experience:
- 1+ years in customs clearance, trade facilitation, or logistics
- Outline the areas of functional or technical expertise necessary for someone to be successful in the position. This may include software skills, regulatory knowledge, certifications, or specific methods or practices commonly used in the field.
Expertise:
Knowledge:
- Processing import/export documents in the Single Window system
- Knowledge of HS Codes, trade agreements, and tax/duty calculations
Skills
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent analytical skills for evaluating supplier performance and market trends.
- Strong negotiation and communication skills (written and verbal).
- Ability to manage multiple tasks simultaneously and meet deadlines effectively.
- Exceptional organizational and time management skills.
