Title – Liaison Officer

A Liaison Officer acts as the main point of contact between the organization and external entities (like partners, regulators, vendors, or the public), while coordinating internally with departments to ensure alignment, smooth operations, and mutual understanding.

 Job Summary:

The Liaison Officer will serve as a key point of contact between the company and various external stakeholders, including government agencies, suppliers, clients, partners, and the community. The role requires a highly organized, proactive, and resourceful individual with excellent communication, organised, deadline meeting and negotiation skills. 

The Liaison Officer will be responsible for building and maintaining strong relationships, ensuring smooth communication flow, and facilitating the achievement of the company's objectives across its diverse sectors.

 Key Responsibilities

  • To visit Public or Government entities or representatives to secure necessary documents, fulfil requirement’s, resolve related issues, but not limited to, Government Ministry Offices, Customs, Banks /all type/, Insurance, Document Authentication Registration Services, Shipping Lines. Investment Commission, Diplomatic Missions’ /Embassies/, TAX Offices, Private Firms.

  • Act as a point of contact for external inquiries and requests when required.

  • Always represent the company in a professional and courteous manner.

  • Ensure clear and consistent relation between the company and external bodies.

  • Disseminate information effectively and promptly to relevant parties and follow all letters / active matters in the Private, Governmental offices regularly. 

  • To draft, submit, track various legal documents, such as project agreements, Customs in consultation with relevant department with close attention to deadlines and renewals, to follow-up application forms, letters, documents, Govt public regulatory body facilitation, process, submit, obtain applications.

  •  To assist in procurement activities and legal receipt follow-ups, Vehicle Insurance activities, document translations, handlings, letter provision for interpretation during meetings, archive records securely, and assist with audits preparations in consultation to the relevant authorities.

  • Finance Aspects- Bank process related to LC documentations receive, submit, follow-up document progress. Payment settlements, receive legal receipts, submit, obtain application certificates, Permit and License forms and related, submit or receive all documents required under relevant Eth law.

  • Draft communication outputs—status reports, minutes, press releases, briefing note—tailored to stakeholders upon receipt.

  • Track and maintain records: meeting/visit logs, correspondence, agreements, permits.

  • To work in liaison with all departments and assist in their errands based on activity flow and work balance aspects.

Reporting & Documentation
•    Draft communication outputs—status reports, minutes, press releases, briefing note—tailored to stakeholders upon receipt.
•    Track and maintain records: meeting/visit logs, correspondence, agreements, permits.
•    To work in liaison with all departments and assist in their errands based on activity flow and work balance aspects.
 

Skills, Qualifications and Experience
•    Education: Diploma or equivalent in a related field or a combination of education and experience.
•    Experience: A 3+ years Proven experience in dealing with administrative process and bodies, Experience in similar positions in a company is a plus, experience         of working with authorities is an asset.
•    Languages: English proficiency is essential; Amharic fluency is essential, other local languages is an asset.
•    Communication: Clear verbal and written skills; public-speaking ability 
•    Organizational Ability: Manage multiple stakeholders, schedules, and documentation with precision 
•    Problem-solving & Diplomacy: Able to act independently, proactive in resolving conflicts, and tactful in negotiations.
•    Interpersonal Skills: Builds relationships, navigates cultural or institutional differences, and fosters collaboration.
