Job Overview
We are seeking a highly experienced Materials Manager to lead and oversee all aspects of materials management, including purchasing, inventory control, receiving, and distribution. This role is critical in ensuring cost-effective procurement, optimized stock levels, and internal service efficiency across departments. The successful candidate will manage a purchase volume of over ETB 200 million annually and supervise a team across stores, receiving and issuing operations.
Responsibilities
Operational & Inventory
- Oversee purchasing, receiving, storage, issuing, and inventory control functions
- Ensure accurate cost allocation to departments and maintain par stock and FIFO rotation
- Conduct market surveys, obtain competitive quotes, and maintain supplier relationships
- Use and manage ERP systems (iSCALA preferred) to maintain all inventory and purchasing data
- Enforce internal control procedures related to purchasing, inventory, and issuing
- Place all inventory and non-inventory orders based on approved PRs and par stock levels
- Maintain historical data and catalogues of supplier information
- Coordinate food and beverage purchase specifications
- Ensure timely, accurate delivery of goods to departments at expected standards
- Manage special stock items (e.g. hotel flower stock)
Financial Planning & Cost Control
- Monitor departmental expenses and implement cost-control measures
- Provide historical data and forecasts for budgeting and business planning
- Assist with Finance Department planning and preparation of the materials budget
- Ensure compliance with all financial reporting and procurement regulations
Team Management & Development
- Lead recruitment, scheduling, grooming standards, and performance reviews for
materials staff - Design and deliver training in coordination with the Training Manager
- Encourage innovation and productivity across the team
- Conduct regular departmental briefings and communication sessions
Administration & Compliance
- Maintain the department’s operations manual and policies
- Ensure timely submission of internal, external, and government reports
- Represent the department on the Executive Committee when required
- Ensure compliance with company, safety, fire, and hazard policies
- Read, understand, and comply with the employee handbook and all regulations
Customer Service & Relationship Management
- Provide excellent internal customer service across departments
- Resolve guest and colleague issues related to materials professionally
- Build strong external relationships with suppliers and other stakeholders
- Uphold a high standard of personal presentation and represent the company
positively
Other Duties
- Attend and contribute to meetings and trainings as required
- Adapt to changes in materials function and perform other duties as assigned
Requirements
- Bachelor's degree in Logistics, Supply Chain, Business, or related field (CJPS/APICS certifications a plus).
- 10–15+ years of experience in materials, procurement, or supply chain (military logistics, NGO, import/export, or FMCG preferred).
- Proven experience managing large-volume procurement (ETB 200 million+ annually).
- Proficient in ERP systems (iSCALA, SAP, Oracle).
- Strong leadership, negotiation, and cost-control skills.
