The Admin Assistant/Secretary will be responsible for performing a broad range of administrative support, office administration and clerical duties. 

Essential job functions will include:

Performing a wide variety of administrative tasks in support of the administrative work for the company.
Managing all incoming calls to the reception desk and respond to routine questions and basic information about the company to callers and from visitors.
Supporting departments in variety of administrative activities.
Keeping all administrative records up-to-date.
Assisting with administrative functions as needed and assigned by department managers;
Provide assistance and support to the General manager and department Managers, and communicate with outside contacts with utmost courtesy and respect and in a manner that enhances the efficiency and reputation of the company.
Perform any other related duties assigned by General Manager and department Managers.
Fast and reliable secretarial work like writing letters and contractual agreements; answer calls coming from all stakeholders and act accordingly, proper communication with clients either through telephone or in person; proper record keeping and filing of documents, willingness to work under stress and provide other duties as assigned.
Maintain inventory of office supplies and reorder as needed.
Provide customer service to visitors and clients.
Ensure office areas are clean and organized. 
Coordinate schedules, meetings, and appointments for management.
Handle office correspondence including emails, phone calls, and mail.
Monitor office supplies and liaise with suppliers for purchases.
Ensure that the reception area is always kept tidy.
Receive and record incoming hand deliveries, sign for them, and track delivery of the same to appropriate individuals internally in a timely manner.
Receive clients and visitors and notify relevant department/staff members of their arrival.
Receive telephone messages and advise staff or clients.
Ensure that all outgoing mails/documents are registered and signed for upon pickup by the right recipients.
Ensure necessary publications are available at the reception.
Order all office stationery.
Order all kitchen consumables, i.e. sugar, tea bags, coffee etc.
Raise local purchase requisitions, purchase orders and goods receipt vouchers.
Recharge the stationery and photocopy docket.
Ensure that the office machines/equipment are always in good working order and any faults reported and necessary repairs carried out in a timely manner.
Oversee the security of the office by ensuring doors are locked at the prescribed time and report any security issues arising to the concerned manager. 
Provide clerical support by attending departmental (and other selected) meetings, preparing agenda, minutes and following up on the agreed action points.
Perform any other tasks as may be assigned from time to time.
Ensure compliance with company policies and regulations.
 

Qualification: Diploma in Secretarial Science & Office Management or related field.

Experience: 3-6 years in Secretarial and or Admin Assistant position.

Proven experience in office administration or similar role.
Strong management skills.
Excellent organizational and time management abilities.
Proficiency in MS Office.
Good written and verbal communication skills.
