Job Summary

The Finance and Logistics Liaison Officer is a dual-purpose role responsible for managing key liaison activities between the finance and supply chain departments. This position combines elements of procurement, logistics, and treasury/cashiering, ensuring seamless operations and communication between these critical functions. The role will involve ensuring financial compliance in procurement activities and supporting both logistics and treasury operations.

Key Roles & Responsibilities:

Procurement and Logistics Liaison:

  • Settle and audit procurements with the finance department, ensuring compliance with company policies.
  • Research, select, and purchase quality products.
  • Maintain and update records of all shipments.
  • Assist in logistics and import operations.
  • Ensure purchase requisitions are adequate, specific, and complete, and that quality and specifications are met.
  • Track, update, and share all procurement activities.
  • Maintain and develop supplier relationships.
  • Adhere to company policies related to conflict of interest, ethical treatment of suppliers, and delegation of authority.
  • Perform daily walk-around inspections and report any identified problems.
  • Maintain a complete record of procurement activities for audits.

Finance Liaison:

  • Verify payments and oversee the approval process.
  • Ensure that correct controls and e-banking security are maintained.
  • Prepare detailed FX analysis for foreign currency transactions and provide information to management.
  • Prepare cheque payments and telegraphic transfers for vendors/suppliers.
  • Maintain the cheque register and issue signed cheques to suppliers.
  • Load electronic payments onto the banks and download daily statements.
  • Follow up on payment documents with auditors.
  • Assist with monthly reconciliation of bank statements to the ledger account.
  • Liaise with the finance team, supply chain team, sales team, and vendors.

Essential:

  • Bachelor's degree in Accounting and Finance, or Supplies Management.
  • Proven experience of at least 2+ years in a similar position.
  • Strong knowledge of purchasing and logistics basics.
  • High level of integrity and honesty.
  • Ability to read, write, speak, and understand English.
  • Strong attention to detail and good time-management skills.
  • Ability to meet deadlines and work as a strong team player.

Desirable:

  • Experience working in a global company in a developing market.
  • Strong treasury knowledge, especially in cash management and treasury operations.
  • Experience with and understanding of bank relationship management.
