Job Purpose 

The Finance Officer is responsible for the day-to-day accounting and finance operations of the Ethiopia International Office, including regular accounting, routine tax deposits and returns, local compliance, and banking activities. Key responsibilities include reconciling and reporting accounts payable/receivable, assisting with audits, maintaining financial records, and supporting budget and cash flow management. By assisting in financial controls and process improvements, the Finance Officer contributes to the efficient and accurate management of the company’s financial operations.

Responsibilities

Accounting 

  • Data entry of expenses into the accounting system. 
  • Day-to-day accounting/bank/cash of all transactions for all vendors and donors; all employee advances, reimbursements and expenses.  
  • Ensure that the contract billing and collection schedule is adhered to. 
  • Comply with VS SOPs and deadlines for all accounting and finance routine activities. 
  • Reconcile accounts payable and receivable balances monthly. 
  • Reconcile inter-company balances monthly. 
  • Payroll accounting based on inputs provided by HR and payroll service provider.

Financial Management 

  • All transactions and primary reconciliation of cash, inter-company transfers, bank statements. 
  • Provide input and data to Deputy Director, Finance and Operations: 

     - To manage country finances and keep managers abreast of financial status 

    - To update monthly actual to budget variances. 

    - To prepare cash flow, fund request and related forecasting reports. 

  • Work with Deputy Director, Finance and Operations to prepare monthly and annual financial reports to be submitted to HQ Finance

Donor Budgets, Reports and Audits

  • Provide accounting transactions to Deputy Director, Finance and Operations so s(he) can prepare financial reports for donors and donor budgets. 
  • Provide general ledger transactions, trial balance and information from accounting systems for donor audits. 
  • Provide accounting transactions to Deputy Director, Finance and Operations for preparation of annual internal budgets and reforecast.

Contracts

  • Ensure payments follow vendor contracts and purchase orders.

Statutory Audits

  • Provide general ledger transactions, trial balance and information from accounting systems to external auditors during the statutory audit.

Taxes and Compliances

  • Support external accounting firms in tax reporting data requirements. 
  • Coordinate with local insurance agencies for the insurance renewals and premia. 
  •  Deposits taxes based on report given by BDO. 

Working with other teams - Acts as back-up for Deputy Director (Finance & Operations) for routine accounting and finance activities

Education and degree 

  •  Bachelor’s degree is the minimum requirement. Accounting or Finance major is preferred.

Skills & abilities 

  • Expertise and working knowledge of accounting and financial management. 
  • Knowledge of compliance and local financial regulations and laws (especially tax laws). 
  • Proficiency with prevalent accounting software. 
  • Expertise in MS Excel, including proficiency in using pivot tables, V-lookups. 
  • High attention to detail and accuracy. 
  • Good communication skills 
  • Ability to multi-task and provide courteous team support. 
  • Strong skills in establishing work priorities and the timely meeting of deadlines and milestones

Experience 

Experience required: 

  • Minimum of 5 years of relevant experience in day-to-to-day accounting, routine compliances and vendor payments withing the Finance and Accounting function. 
  • Expertise in working on prevalent accounting software and MS Excel. 

Experience Preferred: 

  • Hands-on accounting experience in an international non-profit or foundation preferred. 
  • Experience in EXACT or Netsuite preferred.
