YES is recruiting for a Finance and Procurement Manager
Job Summary: The Finance and Procurement Manager is responsible for leading and managing the financial operations of the organization which includes procurement. This role ensures effective financial planning, reporting, budgeting, and compliance. It also includes managing procurement processes to ensure cost-effective and timely acquisition of goods and services. The role requires working closely with the leadership team and other stakeholders, providing financial guidance, and overseeing the finance department's day-to-day functions in alignment with the organization's mission and goals.
Duties & Responsibilities:
Financial Management
- Oversee daily financial operations, including accounts payable/receivable, payroll, and financial reporting
- Prepare and manage the annual budget in conjunction with the Operations Manager in alignment with the organization's strategic goals
- Maintain accurate financial records and ensure timely reporting to leadership and relevant stakeholders
- Implement internal financial controls and systems to prevent mismanagement and inefficiencies
- Lead the external audit process, ensuring compliance with set standards and protocols
- Manage cash flow, financial forecasting, and risk assessment to ensure financial sustainability
- Prepare monthly, quarterly, and annual financial statements, including cash flow projections
Procurement and Vendor Management
- Oversee all procurement activities, ensuring compliance with the organization's procurement policies and best practices
- Ensure procurement approvals are co-signed with Operations Manager or designate
- Develop and maintain vendor relationships, ensuring competitive pricing and quality assurance
- Ensure transparency and cost-effectiveness in all purchasing decisions
- Manage contracts and service agreements with external vendors and suppliers
- Implement systems for monitoring inventory, fixed assets, and procurement planning
Strategic Planning and Financial Reporting
- Develop and oversee the annual budget in collaboration with department heads and the board of directors
- Monitor budget performance, track variances, and provide regular financial reports to stakeholders
- Provide regular financial reports and variance analysis to the Operations Manager, Director, and Board
- Conduct cost-benefit analysis for organizational projects, infrastructure developments, and operational improvements
- Prepare reports for external stakeholders and agencies as required
- Respond to financial inquiries from internal and external stakeholders promptly and accurately
- Conduct regular reconciliations of accounts, including bank and ledger balances
- Support the organization's strategic objectives through sound financial management and advice
- Assist in long-term planning and resource mobilization strategies
Compliance and Risk Management
- Ensure compliance with local tax laws, labor regulations, and other financial reporting requirements
- Maintain up-to-date knowledge of national and international financial regulations relevant to the organization
- Coordinate annual audits and address audit findings
- Monitor and mitigate financial risks, including cash flow risks, foreign currency risks, and operational risks
- Maintain compliance with relevant accreditation requirements and standards
- Develop and maintain internal controls to safeguard the organization's financial resources
Team Leadership & Development
- Supervise and mentor the finance and procurement team, ensuring professional development and efficiency
- Provide training to staff on budget management, procurement procedures, and financial literacy
- Ensure the team meets deadlines for reporting, compliance, and other financial tasks
- Foster a culture of accountability, efficiency, and financial stewardship
Qualifications & Competencies
- BA degree in accounting, finance, or a related field with relevant experience
- Master's degree in a relevant area desirable and can set a candidate apart
- Professional certifications is a plus
- NGO/INGO experience is vital
- Multicultural experience is vital
