Position Summary

Under the guidance and supervision of the Senior Country Operations Manager, the Sr. Operations Officer will provide administrative support for the projects and the Country Office. S/he will assist the smooth operation of the JSI Country Office in the areas of office management, travel management, program support and event management. The SOO supervises the Operations Officer and the Front Desk Officer. 

Duties and Responsibilities

  • Responsible for keeping the office running smoothly and overseeing administrative support.
  • Regularly check the balance of office stationary and supplies and replenish materials in a timely manner.
  • Regularly check the functionality of office facilities and equipment and arrange repair and maintenance. 
  • Facilitate domestic and international travel arrangements including, visa processing, ticket bookings, vehicle arrangement, and hotel booking. 
  • Support international staff travelling to Ethiopia including, visa process, hotel booking, traveler’s packet, transportation service, and arrange safety and security briefing. 
  • Regularly review and update traveler’s packet with up-to-date information. 
  • Provide administrative support for internal meetings, trainings and events including, managing invitation, venue booking, travel arrangement, etc. 
  • Provide administrative support for program activities including, venue booking, travel and supplies arrangements, etc. 
  • Work closely with the procurement and logistics units in facilitating program and other events. 
  • Maintain a proper filling system for in-coming and outgoing correspondences. 
  • Support the technical team in planning program material distribution, delivery and collection of Model 19 and reporting to ACSO.
  • Liaise with ACSO for all approval processes and communications. 
  • Manage the fixed asset register, ensure that it is regularly updated to reflect current status of the fixed assets. 
  • Process fixed asset disposal in a timely manner. 
  • Provide administrative support to field operations. 
  • BA Degree in Management or Business Administration.
  • At least seven years of experience in office administration and management. 
  • Experience in organizing and managing meetings and travel logistics.
  • Experience in managing teams. 
  • Good computer skills (windows, Microsoft Office).
  • Strong communication and interpersonal skills.
  • Must be willing to travel to project activity regions and woredas as needed. 
  • Speaking of more than one local language is a plus.
