JOB SUMMARY

Under the direct supervision of the Finance & Operation Manager, the Finance Officer (FO) is responsible for all accounting functions, budgetary control and management, financial and country legal and tax compliance, and financial analysis, of the organization. The position is responsible for support of audits and budget preparation as well as in the management of the accounting activities of the HFHE in accordance with generally accepted accounting principles and practices. Bank reconciliations, account payable, account receivables, posting transactions, coding of accounts and budget lines to accounting journals with he SUN accounting software from such source documents as well as reporting of financial status to management and donors. Ultimately, FO will be responsible for the day-to-day management of financial transactions and procedures, through excellent organizational skills and be able to handle time-sensitive tasks.

Essential Duties and Responsibilities: 

  • Review supporting documents presented for payments. Manage and facilitate the daily program-wide accounting and finance functions including timely recording of transactions, cash management, banking, inventory, receivables, and payables.

  • Review/record accounts payable and accounts receivable in line with HFHE policies, and standards.

  • Prepare monthly payroll, bank transfer letters and journal vouchers

  • A follow-up balance of staff provident fund accounts, and staff advances.

  • Advice the Finance team on the weekly exchange rate to be captured in the Sun System.

  • Ensure settlement of monthly taxes (payroll tax, withholding tax and pension

  • Process invoices in support of payments as may be required.

  • Support both the conduct and management of internal and external audit processes. 

  • Provide support to the FOM to implement all audits. 

  • Performs all bank account reconciliations monthly and when needed,

  • Maintain banking relations and collect bank statements from the banks.

  • Continuously stay abreast of donor policies, procedures, rules, and regulations; compile and update applicable local policies; train HFHE staff in these policies.

  • Prepare quarterly financial analysis and present to FOM.

  • Participate in the development of budget proposals.

  • Maintains appropriate filing of financial records and ensures proper backup of all files.

  • Prepares requests for cash (ITR) and ensures all disbursements have appropriate supporting documents.

  • Ensure reconciliation of cash advances for specific activities once completed.

  • Closely monitors, manages, and reconciles petty cash.

  • Identifies funds received, matches them to programs/projects or activities and ensures they are recorded manually or in the computer system

  • Ensures all expenses and requests for disbursements are approved by the appropriate authority.

  • Remain alert and responsive to any safeguarding risks, acquire relevant knowledge and skills that will enable to promote strong safeguarding practices, understand the safeguarding policy and procedures, and conduct in a manner consistent with the Safeguarding Policy.
  • Safeguards the rights of beneficiaries and community members (especially children); and promotes the implementation of Habitat for Humanity’s code of conduct.

Job Requirements

Education: 

  • BA Degree in Accounting & Finance 

Years of Related Experience: 

  •  3 years and above working experience in finance, including experience in SUN accounting software.
  • INGOS’ experience is preferred

Soft Skills:

  • Strong accounting skills and experience, including management of general ledger, journal entries, payables, and balance sheet. 

  • Advanced computer skills in MS Office programs, particularly Excel.

  • Accuracy, attention to detail and financial aptitude. 

  •   Excellent communication, facilitation, and coordination skills.

Duration of the contract: - Maternity leave cover 5 month  fixed term .
