About the Office 

The Coordination Office for Development Cooperation (CO), located at the Austrian Embassy in Addis Ababa, Ethiopia, is mandated to implement bilateral development cooperation between Ethiopia and Austria. The CO's work includes ,Policy Dialogue Engaging in discussions regarding development policies and Project Monitoring Overseeing the implementation of projects funded by the Austrian Development Agency (ADA). Currently, the projects supported by the Government of Austria focus on Inclusive Governance , Resilience Building ,Higher Education  and Humanitarian Assistance

Job Description

The Trainee role is divided into three key areas of support: 

1. Support to Office Management (60%) 

This involves planning, organization, and monitoring of programme activities: 

Correspondence & Documents: Register and distribute incoming/outgoing correspondence; prepare general letters; assist the team with photocopying, binding, and document preparation.

 • Communication : Answer incoming calls and make outgoing calls on behalf of the office. 

• Logistics & Travel: Keep general information on hotels, vehicle rentals, and airfares up-to-date; assist in preparing staff duty travel, including booking flights and hotels. 

• Organizational Support: Provide organizational support to the Counsellor and Program Managers for meetings and appointments (using Outlook calendar). 

• Administration: Assist in handling and updating the office's inventory list; assist with office procurement (stationary, cleaning supplies, equipment, etc.); assist in HR management (leave and sick leave records). 

2. Support to Petty Cash Management (20%) 

This focuses on basic financial administration: 

• Cash Handling: Handle petty cash and pay advances according to office regulations. 

Record Keeping: Keep the cash book up-to-date and prepare the monthly cash count. 

3. Support to Communication, Knowledge Management & Documentation (20%) 

This supports the office's external and internal information flow: 

• External Communication: Support the CO's focal point for communication with the ADA communication team; assist the Head of Office with Social Media content preparation. 

• Internal Communication: Assist Program Managers with drafting communication input for the ADA intranet. 

• Documentation: Assist the Communication and Logistics Officer with photo selections and documentation for communication purposes, adhering to ADA visibility and publication requirements.

Minimum Requirements 

Education / Work Experience 

• Education: Bachelor's degree in relevant fields such as business administration, social sciences, finance and accounting, or the like. 

• Experience: Between six months and one year of work experience in local or international organizations, including internships. 

Skills 

Language: Very good command of spoken and written English. 

Technical: Good MS Office skills. 

Personal: Self-motivated, proactive, and adaptable personality with excellent communication skills. 

Commitment: A commitment to learning and expanding their knowledge base. 

Organization: Ability to prioritize work efficiently and productively
