  1. Job Summary: 

The Publication and Advocacy Officer is responsible for efficiently planning and organizing his/her monthly activities, ensuring timely execution, and promoting a positive work environment. She/he enhances PAPDA’s visibility and influence by producing publications, leading advocacy campaigns. Additionally, the officer manages organizational databases, ensuring data accuracy, secure storage, facilitating efficient data collection and reporting. The role also includes executive assistance, such as providing administrative support, managing correspondence, handling confidential information, and recording meeting minutes. Furthermore, the officer participates in self-capacity-building initiatives.

  1. Duties and Responsibilities:

    1. Personal Planning

  • Develop yearly, quarterly and monthly activity plans and upload them on time.

  • Prepare monthly activity report in the last week of every month before salary is effected.

    1.  Planning

  • Plan for the development and design of publication materials.

  • Plan for the revision and implementation of a communication plan that strengthens PAPDA’s branding and advocacy visibility.

  • Plan for ways to increase visibility through digital media, traditional press, and grassroots advocacy initiatives.

  • Plan for conducting research, monitor trends, and perform stakeholder mapping to support data-driven advocacy efforts.

  • Plan for undertaking effective administrative support.

  • Plan for managing different organizational databases.

    1.  Implementation

      1. Content Creation & Publication Management

  • Lead the production of high-quality publications, including reports, newsletters, research papers, blogs, brochures, and press releases.

  • Revise and produce publication materials, ensuring clarity, accuracy, and consistency with the safety and security officer.

  • Collaborate with graphic designers and content creators to develop visually appealing materials.

  • Oversee publication dissemination strategies, ensuring reach and engagement through digital and print distribution channels.

    1. Digital and Media Advocacy

  • Collaborate in developing compelling advocacy content for websites, social media, and traditional media channels.

  • Work with the ICT team to ensure optimized digital advocacy, leveraging online platforms for campaigns, storytelling, and calls to action.

  • Participate in monitoring social media trends and online discourse, ensuring effective engagement with target audiences.

  • Collaborate in developing video scripts, infographics, and interactive content to drive advocacy messages.

  • Collaborate with internal teams to align advocacy and publication efforts with programmatic priorities.

  1. Monitoring and Impact Assessment

  • Establish key performance indicators (KPIs) to measure the impact of visibility, and communication initiatives.

  • Develop systems to track media mentions, audience engagement, and stakeholder feedback.

  • Regularly evaluate the effectiveness of advocacy campaigns and make adjustments as needed to maximize impact.

    1. Database and Data Management

  • Manage organizational databases to ensure data accuracy and secure storage.

  • Apply secure storage practices and enforce confidentiality protocols to protect sensitive information.

  • Ensure efficient data collection, storage, and reporting processes for internal and external stakeholders.

    1. Capacity Building 

  • Actively engage in self-capacity-building initiatives.

  • Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.

  1. Other Responsibilities

  • Represent the organization in various events.

  • Carry out any additional tasks assigned by the Planning and MEAL Coordinator.

  • A Bachelor's degree in Communications, Journalism, or a related field.

  • Experience: Proven experience in publication and advocacy roles, including drafting reports, creating communication materials, and managing campaigns in the NGO sector for more than 5 years.

  • Requirements: Strong writing and editing skills, with the ability to produce high-quality publications and advocate for organizational goals. Experience in managing media relations and social media campaigns is an asset.

  • Employment Type: Contract.
