Office and Administrative Assistance
Job Summary:
We are looking for an Organized and proactive Office & Admin Assistant to join our company. This ideal candidate will be responsible for handling daily office administrative tasks, managing office supplies and purchases of different items and ensuring smooth day-to-day operations of the workplace.
This role requires excellent communication skill, attention to detail, and the ability to multitask in a fast-paced corporate environment.
Key Responsibilities:
- Purchase, manage and monitor office supplies, Stationery & Entertainment supplies for office.
- Obtain quotations, negotiate prices, and prepare payment request as per company policy.
- Maintain accurate records of purchases & invoices.
- Support daily office operations, including filing, document management, and administrative support to different departments.
- Assist in handling courier services & Office Maintenance coordination.
- Ensure the office environment remains well-organized, clean, and professional.
- Organize files, records, and confidential documents systematically.
- Support day-to-day office operations and ensure smooth information flow.
- Assist in Scheduling SECRETARIAL ISSUE like writing letters, meetings and minutes.
- Assist with HR, General service, Transport Fleet, Drivers, Janitors, Guards, and related tasks such as maintaining employee records and potentially supporting the Onboarding process for new hires.
- Check Monthly Telephone, Water & Electric bills.
- Strong organizational, multitasking, and time-management skills.
- Meticulous attention to detail is crucial for managing critical project documentation and financial records.
- Excellent computer skills, particularly with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong email writing and professional communication skills
- Strong written and verbal communication abilities.
- A proactive, helpful, and supportive attitude, with the ability to adapt to changing project needs and priorities.
- Ability to work under pressure and handle multiple tasks
- Professional, proactive, and detail-oriented
- BA degree in Degree in Secretarial Science, Office Administration, Management, Business Administration, or related fields.
Education:
- BA degree in Degree in Secretarial Science, Office Administration, Management, Business Administration, or related fields.
Experience:
- 3-5 years of experience in similar position
