Position Overview

DRAZ GROUP CO., LTD (ETHIOPIA BRANCH) is seeking a dedicated Bid Documentation Coordinator is responsible for the preparation, compilation, and submission of bid/proposal documents. The role ensures that all bid submissions are complete, compliant with client requirements, and delivered within deadlines. This position works closely with technical, financial, and administrative teams to ensure smooth coordination throughout the bidding process, including compliance with EGP (Electronic Government Procurement) system requirements and national procurement rules.

Key Responsibilities

  • Review bid notices and solicitation documents (RFPs, RFQs, EOIs).

  • Track bid deadlines and maintain bid status records.

  • Collect required documents from technical, finance, admin, and other teams.

  • Prepare administrative sections (company profile, licenses, certifications, tax documents, past performance, etc.).

  • Compile and format bid packages for submission.

  • Ensure all required forms, signatures, stamps, and attachments are compliant.

  • Manage physical submissions (printing, binding, sealing, courier, etc.).

  • Submit bids electronically through the EGP system, ensuring compliance with rules and procedures.

  • Maintain digital and physical archives of submitted bids and acknowledgments.

  • Communicate clarification requests, addenda, and updates to relevant internal teams.

Education:

  • Bachelor’s degree in Engineering, Business Administration, Management, Communications, or related field.

Experience:

  • 3-5 years of experience in bidding and bid document preparation 
  • Experience using the EGP system for supplier registration and bid submission 
  • Familiarity with government procurement processes 

Skills & Competencies:

  • Strong organizational and time management skills.

  • Excellent written and verbal communication.

  • High attention to detail and compliance.

  • Ability to work under pressure and meet tight deadlines.

  • Proficiency in MS Office (Word, Excel, Outlook, PDF tools).

  • Knowledge of EGP rules, procurement regulations, bid securities, and document compliance.

  • Professionalism, integrity, and confidentiality.
