The Supply Chain Intern will support IRC’s supply chain compliance efforts by ensuring procurement documentation is complete, accurate, and audit‑ready across both Addis Ababa and field offices.
Major Tasks:
Review and verify procurement attachments uploaded in Integra, ensuring alignment with each procurement method and threshold.
Audit Box folders to confirm file accuracy, naming consistency, and proper link management.
Identify and flag missing or incomplete documentation.
Create and maintain a Master Procurement Index mapping physical files to digital records across offices.
Conduct weekly spot checks to evaluate threshold compliance (Direct, Single, Competitive procurement).
SOP Implementation: Assist in the workflow for new procurement requests to ensure they follow the refreshed SOP from the outset.
Reporting: Maintain a tracker of compliance rates across various departments and field offices to identify where more training is needed.
Vendor Record Maintenance: Update and verify the Vendor Master File documentation.
Audit Preparation Support: Prepare "Audit Ready" folders for upcoming internal/external reviews, ensuring every transaction is "Audit-Proof" based on the SOP checklist.
Process Improvement: Suggest methods to automate or simplify the filing process within Integra to reduce manual errors and duplication of work.
Major Tasks:
Assist in compiling daily security information to facilitate monthly reporting and decision-making process.
Collect security information from open sources and share with HASSU team.
Provide an analysis of the security situations in the country and IRC intervention sites that have a potential impact on the operations.
Assist the safety and security team in running the access, safety and security operations.
Support in the emergency and contingency planning documentation.
Support the HASSU team to ensure that security management in emergency response procedures are appropriately documented and shared with all staff.
Investigate the expiry/inspection dates of safety related equipment.
Assist in planning and preparation of field visit support.
Documentation of online and hardcopy documents.
Support and co-facilitate HASSU team during Staff training.
Perform any other related tasks as may be assigned.
Major Tasks:
Participate in meetings and prepare the notes accordingly
Join in monitoring trips and prepare the monitoring reports accordingly
Join partner capacity assessment and compile/prepare the reports accordingly Support in conducting due diligence on partners.
Support the development of partnership agreement package
Any other task assigned by supervisor.
Major Tasks:
Assist in the planning and implementation of health and nutrition activities
Support in report preparation and documentation
Assist in organizing workshops/ meetings related to departmental projects
Participate in some relevant technical training
Support interdepartmental communication
Participate in office-based meetings
Major Tasks:
The IT intern will assist with re-imaging laptops.
Perform preventive maintenance on computers and other office equipment.
Coordinate laptop maintenance with the warranty center as needed.
