Job Description
We are seeking a highly organized, proactive, and detail-oriented Administration and Human Resources Officer to provide comprehensive administrative, operational, and HR support. The role involves managing schedules, travel and logistics, documentation, legal/compliance follow-ups, company administrative processes, and core HR functions including personnel records, recruitment support and attendance. The successful candidate will ensure smooth day-to-day operations while supporting multiple departments and senior management.
Key Responsibilities
Administrative & Office Support
Manage the personal schedule of the Country Manager, arrange weekly meetings.
Handle travel and accommodation arrangements: obtain quotations, book flights and hotels, process payments, maintain ticket documentation, and notify relevant departments (GS & HR) of upcoming travel.
Coordinate IT support requests: receive issues from all departments, schedule technicians, track progress, monitor monthly IT maintenance time allocation, and manage related attendance.
Manage document translation processes: send documents for translation, follow up on delivery, and cross-check payment requests against records.
Prepare, format, and manage official letters and contracts; maintain and control company reference numbering system.
Maintain office forms and templates (leave, store request, overtime, car tracking, etc.).
Check and prepare meeting rooms
.Provide general administrative support to all departments as required, including sudden or ad-hoc tasks.
Legal, Compliance & Company Administration
Follow up on legal issues and correspondence with problematic clients; maintain status updates.
Manage expatriate personal documentation: visa requests, new work permit applications, registration of issue/expiry dates for work permits, IDs and licenses, and timely renewal reminders/requests. Track attendance (arrival/departure) for expats.
Handle company-related administrative matters: business license applications (new, renewal, cancellation), MRE, preparation of Powers of Attorney (POA), and house sale contracts.
Monitor expiry dates of key contracts (rental houses/cars, insurance policies such as Berhan Insurance, and other corporate agreements) and initiate renewals or follow-ups as needed.
Human Resources & Personnel Management
Manage employee database for relevant operations/management staff.
Support payroll processes and attendance management for designated staff groups.
Assist with recruitment processes, onboarding, offboarding, and employee engagement activities.
Handle personnel administration: develop various HR letters, maintain and update contact lists, coordinate birthday events.
Manage IT-related HR assets and access: laptops, SIM cards, email accounts, biometric systems, and CRM activation/deactivation.
Support general personnel management and related administrative tasks.
Reporting & Coordination
Prepare and send monthly progress update reports to joint venture partners as required.
Follow up on various tasks assigned by the General Services department.
Provide daily news updates to senior management (as prioritized).
Perform any other related duties as assigned by management.
Job Requirements
Requirements & Qualifications
Bachelor’s degree in Business Administration, Human Resources, Management, or a related field.
Minimum 2–4 years of relevant experience in administration and/or HR roles, preferably in a multi-department or international/organizational setting.
Strong experience with travel coordination, document management, contract/letter preparation, and basic compliance follow-ups.
Hands-on experience with HR administrative processes (attendance, personnel records, recruitment support, payroll coordination).
Excellent organizational, time-management, and multi-tasking skills with the ability to handle high-priority and sudden requests.
Strong written and verbal communication skills in English; proficiency in Amharic (and/or Turkish) is a strong advantage.
High attention to detail, confidentiality, and professional integrity.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; experience with shared drives and basic databases.
Ability to work independently, follow up effectively, and coordinate across departments.
Previous experience supporting senior management or expatriate staff is preferred.
