FH Ethiopia would like to invite potential internal/external candidates to apply for the following positions.
Title of Job: Payment Assistant & Data Clerk
Duty Station: Addis Ababa
Duration of Contract: Temporary Contract

Principal Responsibilities
Key Result Area #1. Payment Processing:
Prepare and process payments instruction letters (bank transfers, and other payments) for vendor invoices, partner grants, and operational expenses in a timely manner.
Handle and process staff expense reports and advance requests, ensuring compliance with travel and operational policies.
Manage the organization's petty cash fund: process disbursements, obtain proper approvals and receipts, and ensure accurate documentation for all transactions.
Perform weekly/monthly petty cash counts and reconciliations, preparing replenishment requests in a timely manner.
Manage petty cash disbursements and reconciliations, maintaining strict control and accurate documentation.
Prepare payment batches and obtain necessary approvals from budget holders and the Finance Manager.
Serve as a liaison with the bank for payment-related inquiries and issues.
Maintain a well-organized and secure filing system for all payment vouchers, supporting documentation, and bank records.
Key Result Area #2 Financial Data Entry & Clerical Support:
Accurately code and enter all processed payments into the organization's accounting system
Perform daily and monthly bank reconciliations to ensure all transactions are accounted for and properly recorded.
Assist in the month-end and year-end closing processes by preparing journal entries and reconciling accounts.
Maintain and update the payment tracking database, ensuring all information is current and complete.
Generate routine financial reports and schedules as requested by the Accounts Manager.
Ensure all digital and physical financial files are accurately named, stored, and transferred to archive for easy retrieval.
Key Result Area #3 Compliance & Administrative Support:
Ensure all transactions comply with internal financial controls, donor-specific rules, and local statutory requirements.
Provide crucial support during internal and external audits by preparing requested schedules and retrieving documentation.
Provide general administrative support to the finance team, including scanning, filing, and managing correspondence.

Basic understanding of accounting principles and financial terminology.

Ability to interact positively with all levels of the organization and across organizational and cultural boundaries.
Education and Experience
BA in Accounting or Management or other relevant subjects from any recognized university.
Minimum four (3) years relevant experience in cash and financial data Management is required.
Distinguishing Competencies
Knowledge of local procurement policy, logistics and supply chain management.
Must have good coordination, negotiation, persuasion, critical thinking and time management skills.
Good interpersonal and communication (both written and verbal) skills.
Relevant knowledge of Donor regulations and organizational policies and procedures
Analytical skills and ability to undertake rigorous data analysis
Experience using a scanner and document management software
Ability to prepare reports providing periodic status updates as necessary.
Competent in Microsoft Office applications, strongly in MS Word and MS Excel.
Language
⮚ Proficiency in spoken and written Amharic & English required.
Supervisory Responsibility

⮚ Every FHE staff member has an obligation to learn and understand the security situation where they are located.
⮚ Each FHE staff member should adhere to all pertinent policies concerning safety and security. This includes, but not limited to, personal safety, road safety, etc.
⮚ He/she has a responsibility to become familiar with social, cultural and other associated features of their duty stations.
⮚ Abstains from inappropriate or offensive behavior that can put FHE in a difficult position, impair operations, and jeopardize the health and welfare of all staff of FHE.
All FHE staff should promote safe conduct and exercises caution in all work activities; staff should be accountable for their own personal and professional actions and conduct.
