THE ROLE

CAE is seeking a highly professional, discreet, and experienced Personal Assistant to provide high-level executive and administrative support to the Head of Primary and Early Years School. The successful candidate will act as a first point of contact, manage complex diaries and correspondence, and ensure the smooth operation of the Head's office. This role requires outstanding English, exceptional organisational skills, and the ability to handle confidential matters with integrity.

KEY RESPONSIBILITIES

  • Manage the Head's diary, appointments, meetings, and travel arrangements.
  • Draft, proofread, and edit correspondence, reports, and presentations in English.
  • Handle confidential information with discretion and professionalism.
  • Screen calls, emails, and visitors, responding professionally on behalf of the Head.
  • Prepare agendas, take minutes, and follow up on action points.
  • Coordinate meetings, events, and activities for the Primary and Early Years School.
  • Liaise with parents, staff, senior management, and external stakeholders.
  • Maintain efficient filing systems, records, and databases.
  • Support admissions, parent communications, and school events as required.
  • Monitor deadlines and ensure timely completion of tasks.
  • Support budget and expense administration for the Head's office.
  • Coordinate with other PAs and administrative staff across the school.
  • Ensure safeguarding and professional standards are maintained at all times.

Job Requirements

PERSON SPECIFICATION & REQUIREMENTS

Essential Qualifications & Experience

  • Bachelor's degree in Business Administration, Secretarial Studies, Office Management, Communications, English, Education, or a related field.
  • Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, or Senior Administrator, preferably in an international school or educational setting.
  • Outstanding written and spoken English (near-native or equivalent professional fluency).
  • Excellent proficiency in Microsoft Office and Google Workspace.
  • Strong minute-taking, proofreading, and editing skills.
  • High level of discretion, integrity, and confidentiality.
  • Excellent organisational, time-management, and multitasking abilities.
  • Strong interpersonal and stakeholder-management skills.
  • Ability to work calmly under pressure and meet deadlines.
  • Commitment to safeguarding and promoting student wellbeing.

Desirable Attributes

  • Experience working in a British curriculum or international school environment.
  • Familiarity with school management information systems (e.g., Mograsys).
  • Formal secretarial or PA qualification.
  • Experience supporting senior leadership in an educational setting.
  • Knowledge of Early Years and Primary school operations.
