POSITION PURPOSE

The Office / Administrative Assistant is responsible for providing secretarial, administrative, and office management support to ensure smooth day-to-day operations of the company. The role requires strong organization, communication, confidentiality, and coordination skills.

2. KEY RESPONSIBILITIES

A. Secretarial & Administrative Support

  • Manage incoming and outgoing correspondence (letters, emails, documents)
  • Draft, type, format, and file official documents
  • Schedule meetings, prepare agendas, and record minutes
  • Manage phone calls and visitors professionally
  • Maintain executive calendars and appointments

B. Office Management & Coordination

  • Ensure proper filing (physical and electronic)
  • Maintain office supplies and stationery inventory
  • Coordinate with service providers (cleaning, utilities, maintenance)
  • Support internal communication between departments
  • Assist in organizing meetings, trainings, and company events

C. Records & Documentation

  • Maintain personnel and office records as instructed by HR
  • Ensure document confidentiality and proper access control
  • Support document uploading and tracking in Odoo (if applicable)

D. Support to Management

  • Assist HR & Administration in daily operational tasks
  • Follow up on assigned tasks and deadlines
  • Prepare basic reports when required. REQUIRED SKILLS & COMPETENCIES

Education

  • Education
  • Minimum Degree in:
    • Secretarial Science
    • Office Management
    • Business Administration
    • Management or related fields
  • Experience
  • Minimum 4  years of relevant experience in:
    • Office administration
    • Secretarial or receptionist roles
  • Experience in a corporate or professional office environment is preferred

     REQUIRED SKILLS & COMPETENCIES

  • Technical Skills
  • Proficiency in MS Word, Excel, PowerPoint
  • Strong typing and document formatting skills
  • Basic knowledge of office equipment (printer, scanner, copier)
  • Experience with ERP systems (Odoo is an advantage)
