ATTA Trading PLC is a premier Ethiopian General Contractor and diversified business enterprise specializing in high-rise building construction, MEP installations, interior finishing, international trading, and corporate development. As we continue to scale our operations, we are seeking a highly articulate, organized, and proactive Executive Assistant to provide seamless, high-level administrative and strategic support to our Chief Executive Officer.

This position offers a high-visibility opportunity to work directly alongside corporate leadership, managing critical operations within a fast-paced, multicultural business environment.

Position Summary

Reporting directly to the CEO, the Executive Assistant serves as the primary administrative engine and primary point of contact for the CEO’s office. You will streamline executive workflows, manage high-priority internal and external communications, prepare strategic reports, coordinate complex travel and event logistics, and oversee action-item execution.

The ideal candidate possesses exceptional organizational judgment, impeccable discretion, and the capacity to deliver precise results under pressure.

Job Requirements

Education

  • Bachelor’s Degree in Business Administration, Management, Secretarial Science, Office Administration, Public Relations, or with closely related field of study

Experience

  • 4- 6 years of direct experience as an Executive Assistant, Personal Assistant, or Senior Administrative Coordinator supporting C-level Executives or senior business leaders.

  • Prior experience within construction, engineering, international trading, or multinational corporate setups is strongly preferred.

Duties & Responsibilities

  • Calendar & Workflow Management: Proactively manage and optimize the CEO’s daily schedule, prioritization, appointments, and meeting pipelines.

  • Executive Communication & Liaison: Draft, review, and handle executive correspondence, emails, and phone inquiries; serve as a professional liaison between the CEO, internal department heads, corporate partners, consultants, and government institutions.

  • Documentation & Reporting: Prepare high-quality business reports, executive presentations, meeting agendas, and formal minutes.

  • Confidentiality & Compliance: Safeguard sensitive corporate, legal, financial, and personnel information with strict confidentiality.

  • Event & Meeting Logistics: Plan and execute board sessions, executive meetings, and strategic planning retreats, including briefing materials and logistically sound arrangements.

  • Travel & Operations Logistics: Oversee comprehensive domestic and international travel logistics, including flight itineraries, accommodation, visa processes, and ground transport for the CEO and visiting international partners.

  • Task Tracking & Project Support: Monitor company-wide action items delegated by the CEO, ensure timely operational follow-up, and support key corporate initiatives as assigned.

Skills & Competencies

Technical Proficiencies

  • Microsoft Office 365 Suite: Advanced proficiency in Word, Excel, PowerPoint, and Outlook.

  • Collaboration & Management Tools: Hands-on experience with MS Teams, Zoom, SharePoint, OneDrive, Asana, Trello, or enterprise ERP systems.

  • Business Writing: Superior command of corporate English written and verbal communication.

Language Advantage (Preferred)

  • Mandarin (Chinese) Proficiency: Conversational or professional fluency in Mandarin Chinese is highly preferred. Candidates with Mandarin language skills will receive strong preference due to regular coordination with executive management and international expatriate partners.
