Duties and Responsibilities:
Tender Management
Monitor government, NGO, institutional, and private-sector tender opportunities relevant to the company’s products and services.
Review tender documents, eligibility requirements, technical specifications, quantities, deadlines, and submission procedures.
Identify suitable tenders and coordinate internally to determine whether the company should participate.
Prepare and organize tender documents, including technical, commercial, administrative, and compliance documents.
Ensure all tender submissions are complete, accurate, properly formatted, and submitted before the deadline.
Coordinate with suppliers and manufacturers to obtain quotations, product catalogs, technical documents, and Manufacturer Authorization Letters (MAF).
Maintain an organized database of ongoing, submitted, awarded, and unsuccessful tenders.
Proposal Preparation
Prepare professional technical and financial proposals based on tender requirements and customer requests.
Review technical specifications and match them with suitable products from available manufacturers and suppliers.
Prepare BOQs, quotations, product comparisons, compliance statements, and supporting documents.
Coordinate with the technical team to ensure proposed products meet or exceed required specifications.
Coordinate with suppliers to obtain updated quotations and supporting documentation.
Ensure proposals are commercially competitive while maintaining acceptable company margins.
Review proposals before submission to identify errors, missing documents, or inconsistencies.
Market Analysis and Pricing
Research market prices, competitors, suppliers, manufacturers, and alternative products.
Identify new products, technologies, manufacturers, and business opportunities relevant to Allied Technologies PLC.
Compare supplier quotations and evaluate product quality, warranty, delivery time, payment terms, and overall cost.
Develop competitive pricing strategies for tenders and direct sales.
Analyze import costs, transportation, customs-related costs, taxes, and other expenses when preparing final prices.
Maintain updated market and supplier price information.
Monitor competitor pricing and market trends to support management decision-making.
Communication and Negotiation
Communicate professionally with local and international suppliers, manufacturers, customers, government institutions, and other stakeholders.
Request quotations, catalogs, technical specifications, certificates, authorization letters, warranty terms, and delivery information from suppliers.
Negotiate prices, discounts, payment terms, shipping costs, lead times, warranties, and other commercial conditions.
Establish and maintain professional relationships with manufacturers and suppliers.
Follow up with suppliers regarding quotations, order confirmations, production, shipment, and required documents.
Communicate customer requirements clearly to suppliers and ensure accurate responses.
Support the company in developing new supplier and manufacturer relationships.
Follow-up and Reporting
Follow up regularly on submitted tenders, quotations, purchase orders, and customer inquiries.
Track tender opening dates, evaluation status, award results, and contract requirements.
Maintain records of supplier communications, quotations, negotiations, and customer interactions.
Prepare regular reports for management regarding tender opportunities, submitted bids, sales prospects, supplier activities, and results.
Report successful and unsuccessful tenders and identify reasons for losses where information is available.
Monitor pending quotations and ensure timely responses to customers and suppliers.
Provide management with updates on important opportunities, risks, delays, and required actions.
