Duties and Responsibilities
Tender identification: Search for and identify relevant tender opportunities from government institutions, NGOs, private companies, and other organizations.
Tender analysis: Review tender documents, eligibility requirements, specifications, deadlines, and evaluation criteria.
Tender preparation: Coordinate the preparation of technical, financial, administrative, and supporting documents required for tender submissions.
Bid submission: Ensure tenders are completed accurately and submitted before the specified deadline.
Registration management: Register the company with government agencies, clients, contractors, suppliers, and relevant procurement portals.
License and certificate management: Monitor the validity and renewal dates of business licenses, certificates, tax documents, registrations, and other required credentials.
Document control: Maintain an organized and up-to-date database of company documents required for tenders and registrations.
Compliance: Ensure all tender and registration activities comply with applicable laws, regulations, and organizational procedures.
Coordination: Work closely with finance, technical, procurement, legal, and management teams to collect required information and documents.
Tender calendar: Maintain a schedule of tender deadlines, registration renewals, bid openings, and other important dates.
Communication: Communicate with clients, procuring entities, government offices, and other relevant organizations regarding tender and registration matters.
Follow-up: Track submitted tenders and registrations and follow up on results, clarifications, missing documents, and additional requirements.
Tender records: Maintain records of submitted bids, awards, unsuccessful bids, contracts, and reasons for disqualification where available.
Reporting: Prepare regular reports for management on upcoming tenders, submitted bids, registration status, and tender results.
Market research: Monitor procurement trends, potential clients, competitors, and new business opportunities.
Confidentiality: Protect sensitive company information, pricing, technical documents, and tender-related information.
Team leadership: Guide and supervise staff involved in tender preparation and registration activities, where applicable.
Skills & Competencies
Skilled in identifying tender opportunities, preparing and submitting competitive bids, and managing company registrations.
Strong knowledge of tender documentation, compliance, and document management.
Excellent coordination and communication skills with clients, government offices, and other stakeholders.
Able to manage deadlines and maintain accurate tender, registration, and compliance records.
