Job Description

Job Summary

The Warehouse Assistant is responsible for supporting the day-to-day operations of the warehouse, including receiving, organizing, storing, issuing, and returning company materials, equipment, tools, and event-related assets. The position ensures that warehouse items are properly handled, recorded, maintained, and available when required.

Duties and Responsibilities

Receiving & Inspection

  • Receive materials, equipment, tools, and supplies delivered to the warehouse.

  • Check received items against delivery notes, purchase orders, or approved requests.

  • Report shortages, damages, or discrepancies to the Warehouse Manager.

  • Assist in properly labeling and identifying warehouse items.

Storage & Organization

  • Arrange materials and equipment in their designated locations.

  • Maintain a clean, organized, and safe warehouse environment.

  • Follow proper storage procedures to prevent damage, loss, or deterioration.

  • Apply 5S warehouse organization principles where applicable.

  • Ensure frequently used items are easily accessible.

Issuing & Returning Materials

  • Prepare materials and equipment for event, production, printing, installation, and other company activities.

  • Issue items only against an approved material request or authorized instruction.

  • Record all materials and equipment issued from the warehouse.

  • Receive returned materials and check their quantity and condition.

  • Report missing, damaged, or broken items immediately.

Inventory Support

  • Assist with regular physical inventory counts.

  • Help maintain accurate stock records and inventory documentation.

  • Inform the Warehouse Manager when stock levels are low.

  • Assist in identifying damaged, obsolete, or unused materials.

  • Ensure warehouse records correspond with actual physical stock.

Event & Production Support

  • Prepare event equipment, tools, banners, structures, décor materials, cables, lighting accessories, and other required materials.

  • Assist event and production teams during loading and unloading.

  • Ensure materials are properly packed and secured before transportation.

  • Assist with receiving and organizing materials after events.

Loading & Handling

  • Assist with loading and unloading warehouse materials and equipment.

  • Handle materials carefully to avoid damage or loss.

  • Use appropriate lifting and handling procedures.

  • Coordinate with drivers and event teams when materials are dispatched or returned.

Warehouse Safety & Security

  • Follow company safety procedures and warehouse regulations.

  • Keep emergency exits and working areas clear.

  • Properly store tools, equipment, chemicals, electrical materials, and other items according to safety requirements.

  • Immediately report unsafe conditions, theft, loss, or damage.

  • Ensure unauthorized persons do not remove warehouse property.

Documentation & Reporting

  • Complete material issue and return forms accurately.

  • Support the Warehouse Manager in maintaining warehouse records.

  • Maintain proper documentation for materials taken outside the warehouse.

  • Report daily operational issues, shortages, damages, and other concerns to the supervisor.
