icipe seeks to recruit a Programme Assistant. The position is tenable at the icipe Ethiopia Office. This is a two-year contract, renewable subject to continued position needs, funding for the position, and performance of the staff member. This is a nationally recruited position. JOB PURPOSE: 

  • To provide quality and efficient administrative support to all icipe’s project activities.

Specific Duties:

  • Support the planning and organization of program activities, workshops, and training sessions.
  • Handle accommodation and meeting room reservation at ILRI as well as other hotels in throughout the country. 
  • Assist in processing travel advances, reimbursements, and per diem payments for staff and partners.
  • Handle flight booking, managing itineraries, and ensuring all necessary travel documents are arranged and subsequently follow up boarding passes, are obtained from program participants or staff. Support in procurement of goods and services including obtaining quotations and preparing bid analysis.
  • Raises requisitions on ERP system for travel advance, procurements and other payments and follow up the approval of procurements on the system.
  • Facilitate goods and services supplied by the vendors and delivered to the user.
  • Process payment requests, expense reimbursements, and vendor payment requests, ensuring compliance with icipe's financial and Procurement policies.
  • Develops and maintain efficient filing systems and databases for print and electronic files/documents;

MINIMUM EDUCATION/ACADEMIC QUALIFICATION REQUIRED 

  • Bachelor’s in business administration or related field.

MINIMUM RELEVANT PRACTICAL WORK EXPERIENCE REQUIRED: 

  • Four (4)  years of work experience in relevant area.

MINIMUM PROFESSIONAL KNOWLEDGE/SKILL REQUIRED 

  • Good analytical, organizational, planning and coordination skill; Experience in coordinating programmes with numerous partners
  • Team player with good communication and coordination skills;
