Job Summary:

The Secretary under the direct supervision of the Chief Technical officer will support the administrative functions of the office. The candidate will manage meeting schedules, communication and ensure the smooth operation of daily office tasks in a dynamic environment. The Secretary will collaborate closely with technical teams to enhance productivity and foster a positive work atmosphere.

Key Responsibilities:

  • Organize and schedule appointments and meetings for team members.
  • Perform secretarial tasks (typing Amharic and English letters, Minute records and related)
  • Prepare and maintain documents, reports, and presentations.
  • Maintain office supplies and inventory, ensuring availability.
  • Assist with the technical related with office facilities.
  • Support the team in project coordination and administrative tasks.
  • Implement filing systems and ensure documents are easily accessible.
  • Facilitate communication between departments and external partners.
  • Perform data entry and maintain databases to ensure accuracy.

Required Skills:

  • Demonstrate effective verbal and written communication skills.
  • Proficient in Microsoft Office Pack: Word, Excel, PowerPoint.
  • Adapt quickly to changing priorities and office dynamics.
  • Collaborate effectively within a team environment.
  • Organize and prioritize tasks to meet deadlines efficiently.
  • Handle confidential information with discretion and professionalism.
  • Exhibit strong attention to detail in all work outputs.
  • Demonstrate problem-solving abilities in administrative tasks.
  • Maintain a positive attitude and a flexible approach to work.
  • Build and maintain relationships with colleagues and clients.

Desired Skills:

  • Ability to create visually appealing presentations and reports.
  • Familiarity with basic accounting or bookkeeping practices.
  • Diploma or Degree with Secretarial Science or related business field.
  • Minimum of 4 years experience for Diploma and 2 years experience for BA holders
