Job Summary

The IT, Systems & Automation Officer will be responsible for building and maintaining the company’s internal workflow systems using Google Workspace (Google Sheets, Forms, Drive, Docs, Gmail, Calendar) and Apps Script, while also handling essential IT administration for company computers—such as software installation/updates, user privileges, and access control. The ideal candidate is detail-oriented, disciplined, and capable of supporting multiple departments (Design, Production, Store, Finance) with reliable systems and clear documentation.

Key Responsibilities

Google Workspace Systems & Automation:

  • Build and maintain operational trackers and dashboards (Google Sheets) for Design Requests, Approvals, Revisions, Production Release, Delivery Acceptance, and other registers as needed.
  • Create and manage Google Forms for requests, approvals, revisions, delivery acceptance, and internal reporting.
  • Develop and maintain Apps Script automations (as approved by management), including: auto ID numbering (Design/Job Orders), auto Drive folder creation with standard subfolders, linking folder/file URLs back to the tracker, automated email notifications/reminders, and PDF generation from Google Docs templates.
  • Maintain Google Drive folder structure, file naming standards, and permissions for each department to ensure confidentiality and proper access control.
  • Create SOPs and simple user guides (1–2 pages) and train staff on correct workflow usage.

IT Administration (Computers, Software, Access & Privileges):

  • Install, update, and maintain essential company software (and maintain a basic software list where required).
  • Perform basic troubleshooting for company computers (Windows setup, common errors, performance issues, printers/basic network issues).
  • Manage computer user accounts and user privileges (standard user vs admin rights; who can install software; login rules).
  • Manage data access control (Drive permissions, folder access rules, and access removal when needed).
  • Support onboarding/offboarding: set up new accounts/access, remove access, and secure handover of company data.
  • Maintain basic IT documentation: device inventory list, assigned users per device, and access list for key folders/systems.

Required Qualifications

Educational Background:

  • BA Degree or Diploma in Computer Science / IT / Information Systems / Software Engineering or related fields.

Technical Skills:

  • Strong skills in Google Sheets (data validation, formulas, pivot tables, dashboards).
  • Good knowledge of Google Forms, Google Drive organization, and permission management.
  • Basic–intermediate Apps Script (or strong ability to learn quickly and deliver).
  • Basic Windows administration skills (user accounts, software installation/updates, troubleshooting).
  • Understanding of access control, confidentiality, and good IT hygiene.
