Job Title: Junior Procurement Officer

Department: Procurement / Supply Chain
Reports To: Local Procurement Manager / Procurement Head

Job Summary

The Junior Procurement Officer supports local and foreign procurement activities by assisting in the sourcing, purchasing, and coordination of materials, equipment, and services required for company operations and projects. The role focuses on supplier coordination, preparation of procurement documentation, and internal follow-ups, while working closely with the Import/Logistics and Compliance teams to support the smooth execution of foreign procurement activities.

Key Responsibilities

Procurement & Sourcing (Local & Foreign)

  • Assist in sourcing local and international suppliers in line with approved specifications and procurement plans.

  • Request, collect, compile, and compare quotations and commercial offers from local and foreign suppliers.

  • Prepare comparative statements and support technical and commercial evaluations.

  • Support supplier identification, registration, and performance monitoring.

  • Maintain supplier evaluations and an up-to-date supplier database.

  • Coordinate with internal stakeholders to ensure accurate specifications, quantities, and delivery requirements are communicated to suppliers.

Purchase Order & Documentation Support

  • Prepare purchase requisitions and draft purchase orders for local and foreign procurement.

  • Ensure procurement documentation (quotations/proforma invoices, purchase orders, delivery notes, invoices, and supplier correspondence) is complete, accurate, and properly filed.

  • Coordinate with internal departments (engineering, finance, warehouse, projects) to confirm specifications, quantities, and delivery timelines.

  • Support contract and order administration activities related to scope, lead time, and commercial terms.

  • Follow up with suppliers on order confirmations, delivery schedules, and discrepancies.

Local Procurement Support

  • Support day-to-day local procurement activities, including sourcing, ordering, and supplier follow-ups.

  • Assist in managing urgent or spot purchases as required.

  • Coordinate with stores/warehouse teams to ensure timely delivery and receipt of all procured goods.

  • Assist in resolving delivery delays, shortages, or quality-related issues.

Coordination with Import, Logistics & Compliance Teams

  • Closely coordinate with the Import/Logistics and Compliance departments on foreign procurement activities.

  • Follow up internally to ensure required documents and information are provided on time for import-related processes.

  • Maintain continuous communication with internal teams to track order progress and address issues impacting procurement timelines.

  • Act as a coordination point between suppliers and internal departments for clarifications and updates.

Reporting & Records

  • Maintain organized and up-to-date procurement records for both local and foreign purchases.

  • Assist in preparing Procurement Status Updates and Summary Reports for management.

  • Support audits and internal reviews by providing required procurement documentation.

Qualifications & Requirements

Education

  • Bachelor’s degree (BA / BSc) in Procurement, Supply Chain Management, Business Administration, Management, Engineering, or related field.

Experience

  • 2 years + of experience in procurement, purchasing, or supply chain functions, preferably in the construction sector.

Skills & Competencies

  • Strong communication and coordination skills are important.

  • Basic understanding of local and foreign procurement processes, preferably including supply chain fundamentals.

  • Strong follow-up and coordination skills across departments.

  • Ability to work with multiple suppliers and internal stakeholders.

  • ERP system knowledge is an advantage.

  • Familiarity with international supplier communication and documentation is an advantage.

  • High attention to detail and strong organizational skills with the ability to meet deadlines.

  • Good written and verbal communication skills in English.

  • Proficiency in MS Office applications (Excel, Word).
