Job Purpose The Logistics Officer coordinates end-to-end logistics operations involving air, sea, and land transport. The role ensures efficient, compliant, and timely movement, storage, and documentation of cargo while maintaining high service quality, operational efficiency, and strong stakeholder communication.
Primary Accountability Lead the review of pre-alert documents and issue greenlight approvals for all shipments, confirming accurate documentation and readiness for customs clearance and transportation handling.
Key Responsibilities & Duties
- Review and approve pre-alert documents for shipment readiness, verifying accuracy, completeness, and compliance with Ethiopian Customs Commission regulations, client requirements, international standards, and internal SOPs prior to processing.
- Advise on and ensure preparation of all required shipping, transport, and customs documentation, including bills of lading, commercial invoices, packing lists, certificates of origin, and related forms.
- Coordinate multi-modal logistics operations (air, sea, land) to enable seamless cargo flow from origin to final destination, including Ethiopian Airlines cargo handling, Djibouti port operations, and local trucking.
- Plan, schedule, and monitor shipment execution and transportation movements, ensuring adherence to timelines and delivery commitments.
- Serve as primary point of contact and liaison with Ethiopian Customs Commission, carriers, shipping lines, freight forwarders, transport partners, airline cargo teams, warehouse operations, and clients; resolve operational issues and maintain alignment across stakeholders.
- Perform tracking, tracing, and status reporting for shipments; prepare and share detailed tracking sheets/updates (via Excel, TMS portal, or email) with clients on a weekly basis (or daily for time-sensitive, urgent, or high-value shipments) as required, providing proactive visibility on milestones, customs status, delays, and ETA. Provide regular operational reports and shipment status summaries to the Operations Manager to support decision-making and team alignment.
- Ensure full compliance with Ethiopian customs and trade regulations (including recent streamlining directives), international aviation/maritime/road transport standards, and company Standard Operating Procedures (SOPs).
- Monitor operational KPIs, turnaround times, service levels, and quality performance; identify areas for improvement and support continuous enhancement initiatives.
- Contribute to cost optimization through effective route planning, carrier negotiations, load consolidation, and resource utilization; assist in preparing operational reports and data for management review.
- Maintain complete, accurate, and organized records of shipments, documentation, logs, correspondence, performance data, and client communications for audit, reporting, and reference purposes.
- Promote and enforce company SOPs, safety protocols, quality standards, and ethical practices in all logistics activities.
Required Qualifications & Experience
- Education: Bachelor's degree in Logistics and Supply Chain Management, Transport Management, Business Administration, or a related field.
- Experience:
- Minimum 3–5 years of relevant experience in air, sea, and/or land logistics operations, with emphasis on freight forwarding and shipment coordination.
- Mandatory: Prior experience in a logistics/freight forwarding company.
- Preferred: Working knowledge of Ethiopian Customs Commission procedures (including digitalization and recent waiver/streamlining directives), Ethiopian Airlines cargo operations, Djibouti port handling (including current multimodal restrictions), and local trucking regulations.
Essential Skills & Competencies
- Comprehensive knowledge of multi-modal (air, sea, land) logistics processes and freight forwarding practices.
- Strong capability to critically review, validate, and approve pre-alert and customs documentation with high accuracy.
- Solid understanding of customs clearance, transport coordination, and regulatory compliance in Ethiopia and internationally.
- Excellent verbal and written communication, negotiation, and stakeholder management skills (with authorities, carriers, clients, and partners).
- Exceptional attention to detail, data accuracy, analytical thinking, and problem-solving abilities.
- Proven capacity to perform under pressure, manage multiple priorities, and meet tight deadlines in a fast-paced environment.
- Advanced proficiency in Microsoft Excel (data analysis, pivot tables, formulas, tracking sheet preparation); competent in email systems and logistics/transport management software (TMS/ERP preferred).
Working Conditions
- Office-based role with occasional site visits to warehouses, airport cargo terminals, ports (if applicable), or client locations.
- May require extended hours during peak shipment periods, urgent operational needs, or customs clearance issues.
Performance Expectations Success in this role is measured by:
- Timely and accurate pre-alert approvals (e.g., ≥98% error-free rate).
- On-time shipment delivery rates (target: ≥95%).
- Proactive and accurate client communication, including weekly (or daily as required) tracking sheet sharing with positive feedback on visibility and responsiveness.
- Timely internal reporting to the Operations Manager.
- Full compliance adherence (zero major regulatory violations).
- Efficient issue resolution and KPI achievement (e.g., customs clearance turnaround, cost per shipment reduction).
- Cost-effective operations and positive stakeholder feedback.
