Job Summary

The HR and Administrative Assistant provides comprehensive support in human resources administration and general office operations. This role ensures efficient day-to-day administrative functions, supports recruitment/onboarding processes, maintains employee records, and promotes compliance with organizational policies and Ethiopian Labour Proclamation No. 1156/2019. The position acts as a key liaison for employees, visitors, and external stakeholders while upholding confidentiality and professionalism.

Key Responsibilities

Human Resources Support

  • Assist in the full recruitment and selection process: post job vacancies, screen applications/resumes, coordinate exams/interviews, support candidate selection, and handle promotions or upgrades for existing staff.
  • Prepare and reconcile detailed employee data; compile accurate HR reports for submission to management or higher officials.
  • Orient and onboard new employees by informing them about the organization's internal rules, regulations, work procedures, code of conduct, and key government requirements under Ethiopian Labour Proclamation No. 1156/2019 (including working hours, probation periods, annual/maternity/sick leave entitlements, health & safety standards, non-discrimination provisions, termination grounds, and employee rights/obligations).
  • Maintain and update employee records, HR files, and databases (physical and digital) in compliance with HR policies, Ethiopian labour laws, and data confidentiality standards.
  • Assist in HR administrative tasks such as preparing personnel letters (e.g., transfer, promotion, increment, resignation acceptance, certificate of service), updating leave records, and supporting payroll-related documentation.
  • Handle routine HR queries from staff and ensure consistent, high-quality HR services.

Administrative & Office Management Support

  • Answer and direct phone calls professionally to relevant staff or external contacts.
  • Greet and direct visitors, new employees, and guests; provide necessary information and assistance.
  • Organize and schedule appointments, meetings, calendars, and logistics for staff/management.
  • Write, edit, and distribute professional correspondence including emails, memos, letters, faxes, forms, and reports on behalf of teams or senior staff.
  • Take accurate notes, prepare documents, and draft minutes of meetings.
  • Maintain and update contact lists for internal staff and external stakeholders (e.g., couriers, vendors, partners).
  • Oversee general office operations: order and distribute office supplies per established procedures, maintain office equipment, and ensure a clean, organized, and safe workspace.
  • Prepare reports, maintain filing systems (physical/digital), organize databases, and manage documentation for easy access and retrieval.
  • Update and maintain office policies, procedures, internal guidelines, and HR-related documentation.
  • Act as the primary point of contact for internal employees and external clients; liaise with senior/executive assistants to handle requests from managers.
  • Provide general support to all employees and visitors as needed.

Required Qualifications & Experience

  • Education: Bachelor's degree (or Diploma with relevant experience) in Human Resources Management, Business Administration, Management, Office Management, Secretarial Science, or a related field.
  • Experience: Minimum 2–5 years of progressive experience in HR administration, recruitment support, and/or office management (experience in NGOs, private sector, or Addis Ababa-based organizations is an advantage).
  • Language: Fluency in English and Amharic (spoken and written); knowledge of additional local languages is a plus.

Key Skills & Competencies

  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication skills with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic HR/database tools.
  • High level of integrity, confidentiality, and discretion when handling sensitive employee information.
  • Good interpersonal and customer-service skills; ability to interact effectively with diverse stakeholders.
  • Knowledge of Ethiopian labour laws (particularly Proclamation No. 1156/2019) and HR best practices is highly desirable.
  • Ability to work under pressure, prioritize tasks, and maintain accuracy in a fast-paced environment.
