II. Job Responsibilities
- Be responsible for the sending and receiving of various company documents (including internal administrative documents, external cooperation documents, etc.), accurately register the document source, destination, recipient and processing status, and ensure efficient and traceable document circulation.
- Undertake the organization, classification, filing and management of design documents, including but not limited to highway survey and design drawings, technical specifications, calculation reports, etc. Conduct numbering and storage in strict accordance with the company's document management standards to ensure the integrity and security of design documents; conduct regular inspection and verification of design documents, and update the document ledger in a timely manner.
- Be responsible for the organization, sending, receiving and registration of company correspondence (including paper correspondence and electronic correspondence), promptly transfer important correspondence to relevant persons in charge, and track the handling results to ensure the accurate transmission of correspondence information.
- Assist in building and improving the company's document management system, put forward suggestions for optimizing the document management process to improve document management efficiency; be responsible for the daily maintenance and operation of the document management system to ensure the accuracy of system data.
- Strictly implement the document confidentiality system, conduct special management of confidential documents (especially core design documents) to prevent document information leakage; be responsible for the identification and destruction of expired documents, and implement the standardized approval process.
- Complete other auxiliary work related to document management assigned by superiors.
Job Requirements
- Bachelor’s degree or above, with priority given to majors such as Administrative Management, Archives Management, and Secretarial Science; priority given to candidates with 3 year or more of work experience in document management, archives organization or related administrative positions, and candidates with document management experience in the engineering design industry may have relaxed requirements appropriately.
- Familiar with the basic processes and standards of document sending/receiving, filing and management, master knowledge related to archives management, be proficient in using Office software (Word, Excel, etc.) and common document management tools, and have basic ability in classifying and storing electronic documents.
- Possess a strong sense of responsibility and meticulousness, work rigorously and carefully, be able to identify document information accurately, and complete document registration, organization and other work efficiently to avoid problems such as document omission and misdelivery.
- Have good communication and coordination skills as well as service awareness, be able to convey document information clearly, actively cooperate with various departments to meet document circulation needs; possess a strong sense of confidentiality and strictly abide by the company's document management disciplines.
- Good health, upright character, no bad work records; possess strong learning ability and be able to quickly adapt to the company's document management standards and processes.
