Key Responsibilities; Logistics Technical / Fleet Assistant
- Assist in planning and coordinating vehicle dispatch and routing to optimize operational efficiency.
- Maintain accurate records of vehicle bookings, maintenance schedules, fuel consumption, and related documentation.
- Support the technical team with vehicle inspections, maintenance scheduling, repairs, and condition monitoring.
- Monitor vehicle conditions; promptly report any issues or damages.
- Manage documentation related to vehicle rentals, returns, and maintenance logs.
- Liaise with drivers, clients, and service providers to ensure timely deliveries and pickups
- Assist with inventory management of vehicle parts and accessories.
- Ensure compliance with safety regulations and company policies.
- Support the implementation of logistics and transport processes to improve efficiency.
- Conduct vehicle, truck, and machinery inspections to prepare them for client use
- Collect proforma invoices for vehicle spare parts and manage procurement processes.
- Conduct market assessments for vehicle and truck rentals.
- Coordinate and manage town and field drivers, ensuring smooth operations.
- Track and report vehicle locations using GPS systems.
- Oversee and manage trucks, vehicles, and machinery log sheets.
- Manage drivers’ allowances, refunds, and related administrative tasks.
- Serve as a primary contact for field drivers, supporting their needs and resolving issues
- Gather and analyse information on proformas and pricing.
- Conduct regular field visits to oversee field staff and client work.
- Handle any immediate assignments or tasks assigned by management.
Educational Qualifications
- High school diploma or equivalent (required)
- Certificate or diploma in:
- Logistics & Supply Chain Management
- Transport Management
- Fleet Management
- Automotive or Mechanical Studies (advantage)
Technical & Professional Skills
- Basic knowledge of vehicle maintenance and servicing schedules
- Understanding of fleet operations and transport regulations
- Ability to keep accurate records (fuel usage, mileage, service logs)
- Basic computer skills (Excel, Word, fleet or logistics software)
- Knowledge of inventory and spare-parts tracking
Experience (often preferred)
- 1–3 years’ experience in logistics, transport, or fleet support
- Experience assisting with vehicle inspections or maintenance coordination
- Exposure to warehouse or distribution operations (advantage)
Personal & Soft Skills
- Strong organizational and time-management skills
- Attention to detail
- Good communication skills (written and verbal)
- Ability to work well with drivers, mechanics, and supervisors
- Problem-solving and basic troubleshooting skills
Additional Requirements (may vary by employer)
- Basic understanding of health & safety rules
- Valid driver’s license (advantage)
- Ability to work flexible hours if required
